Candidate Privacy Collection Statement

This Privacy Collection Statement provides you with general information about QBE Insurance Group Limited and its subsidiaries’ (QBE, we, our, us) collection and use of your personal data in connection with our recruiting processes and programs.  

Please note that local candidate specific privacy notices may apply in addition and where applicable will be provided to you separately for the applicable region which you apply. In Europe, we comply with the General Data Protection Regulation and you will be provided local candidate notice in addition by your applicable local recruiter.  

In this notice, ‘personal data’ means any information relating to you from which you can be identified, directly or indirectly. 

PERSONAL DATA WE COLLECT

What personal data is collected about me? 

When you apply for a job at QBE, the following personal data may be collected from you: 

  • Your full name and preferred name
  • Your contact details (including your email, address and phone number)
  • Your gender
  • The information provided in your CV or resume
  • The information provided in your covering letter
  • Your education history, certificates, qualifications and transcripts
  • You work history
  • Whether you have any restrictions from your current employer
  • Your notice period with your current employer
  • Your salary expectations
  • Whether you are over 18 years of age
  • Details of any conflicts of interest
  • Whether you are in a relationship with a current QBE employee
  • Whether you are a former QBE employee
  • Whether you have the right to work in a certain country or countries (including any Visa requirements)
  • Your history of dismissals and disciplinary actions (in accordance with applicable local laws)
  • Whether you are willing to relocate
  • Whether you are willing to travel for the position
  • The information you provide during an interview and which is captured in interview notes,  these may include information about your general background, suitability for the role, interest in the role, availability and the interviewer’s general internal feedback and any other relevant internal comments.

As part of your application, QBE may collect personal data from third parties including your references, professional recruiting firms and your interviewer(s). 

At your option, you may choose to auto-fill part of the application from your LinkedIn profile, by authorising LinkedIn to share with QBE your LinkedIn profile data.

In addition, we may also collect and process other personal data that is granted extra protections under privacy legislation called ‘sensitive personal data’ or ‘special categories of data’. Before collecting any sensitive personal data, QBE will provide you with further information about how such data will be collected and used. 

How is this personal data used?

Recruitment at QBE is undertaken by QBE HR staff, and by external recruiters acting for and on behalf of QBE. QBE uses Workday, a third party hosted recruitment platform provided by Workday, Inc., to receive and manage job applications.

This personal data will be used and stored in QBE’s selected employment and recruitment platform ‘Workday’, provided by Workday Inc. and will be used by QBE for the purpose of, and on the legal basis of, our legitimate interest in considering you suitability for employment at QBE. 

QBE may retain your personal data for a period permitted by applicable local regulation, so it may be considered for future opportunities with QBE. 

Background checks

Depending on the location of the role to which you apply, QBE may ask you whether you expect there to be any findings arising out of any background checks that may take place. Your expectations on such matters may be considered sensitive personal data or special category data; such data will only be collected where permitted by local law and in accordance with applicable privacy law.

If you receive an offer from QBE, we may conduct a background check on you (ourselves or by a third-party background check provider on our behalf) where permitted by applicable local laws. Additional information about how your personal data will be collected and used for the purpose of background checks will be separately and directly provided to you if background checks are required.

Is this personal data disclosed to others/ overseas?

Your personal data may be disclosed, for the purposes listed above, to other QBE affiliate companies in other countries (with which we will ensure safeguards across the group, such as standard contractual clauses), to regulatory or government bodies (where required by law) and to our service providers, some of which may be located in a different country to where you are located (including Workday Inc, who host QBE’s Workday platform in Ireland, the UK and the Netherlands.  International transfers of data to Workday and/or its sub-processors are protected by Workday’s Binding Corporate Rules for processors). We will not disclose data where privacy requirements in specific countries do not allow us to do this.

What if I do not provide this personal data?

If you choose not to provide your personal data (relevant to your application) to us, we may not be able to consider your application for employment at QBE.

RETENTION OF DATA

QBE retains your personal data provided in an application for a period permitted by applicable local regulation, so it may be considered for future opportunities with QBE. 

If you are successfully employed by QBE the duration of your employment, as well as for any further timeframe required by applicable laws and/or for QBE’s business purposes following the end of your employment, generally for 7 years.
